ODEBOLT-ARTHUR EDUCATION FOUNDATION MINUTES
March 12, 2009

The Odebolt-Arthur Foundation Meeting met at 7:00 p.m., March 12, 2009, in the Conference Room at the Odebolt-Arthur Community School. Members present included Carol Auen, Roger Buehler, Kevin Carstensen, Pam Hansen, Carolyn Hoelscher, and Curt Wareham. There were no minutes from the previous meeting.

The main purpose of the meeting was to discuss our first annual fundraising event scheduled for April 26, 2009, at the Odebolt Community Center. Kevin and Carolyn explained a mutual sharing opportunity. The Odebolt Community Center Board would help our committee’s fundraiser and a portion of our proceeds would be donated to the Odebolt Community Center. In return, The O-A Education Foundation members would assist the Community Center with their “Burger Feed” on Memorial Day.

The O-A Education Foundation plans to have a dinner and provide entertainment at the Community Center the day after the O-A Prom. The prom set up including all decorations and tables will be left for our fund raising event. Kevin thinks we should limit the event to 200 people. The dinner would be catered by Aunt B’s Restaurant in Arthur. Aunt B’s would charge us $6.50 for a salad, roll, fancy potatoes, green beans with almonds, a dessert, and coffee or ice tea. Aunt B’s would also charge $4.79 per pound for ribeye steaks. That price for the steaks is the restaurant’s cost. Brenda Mace of Aunt B’s would donate her time to cut the steaks. Kevin has reserved the Cattlemen’s grill for the grilling of the steaks. Each person attending may receive one free drink ticket. A cash bar will be open for the night with the Odebolt Community Center receiving the profit.

Kevin presented three different proposals for the selling of tickets for our fund raising event. Possible sponsors were listed in three different groups: gold, silver, and bronze. The sponsors would be recognized in the special program for the event. Foundation members selected people from Kevin’s list to visit for a monetary commitment for the event. Tickets would be provided to sponsors at a late date. It was decided not to have an auction.

We need a name for our first annual fund raising event. Please be thinking about this. The theme for prom is “Midnight Masquerade.” Kevin suggested we have a social hour from 5 to 6 p.m., dinner at 6:00 p.m., and the entertainment begin at 7:30 p.m. Entertainment for the evening may be a comedian. Kevin is researching the entertainment.

Waiters and waitresses are needed for our event and ideas were discussed. We need at least 16 to 20 servers. It was finally decided that our committee will be the servers and possibly some members of the Odebolt Community Center Board would help.

A foundation brochure will be placed at each place setting of the event. We need to be thinking about tickets and posters. A special program also needs to be printed which would include the sponsors’ names, the dinner menu, and agenda for the evening.

Carol will write a “talking points” to be use when soliciting sponsors so we are presenting the same information. Each committee member is to keep Carol posted on your progress with possible sponsors.

Pam will call Kathleen Gunderson regarding napkins, tablecloths, and the art work for the prom theme of Midnight Masquerade.

Our next meeting will be held at 12:00 noon on March 26.
